How to Beat ATS Systems in 2025 (Complete Guide)

98% of Fortune 500 companies use ATS to filter CVs. Learn exactly how these systems work and how to optimize your resume to get past them every time.

What Is an ATS and Why Does It Matter?

An Applicant Tracking System (ATS) is software used by employers to collect, filter, and rank job applications automatically — before any human sees your CV.

The brutal truth: 75% of CVs are rejected by ATS before reaching a recruiter. If your CV isn't ATS-optimized, you're invisible — no matter how qualified you are.

Companies using ATS include virtually every Fortune 500 company and most firms with more than 50 employees. The most common platforms are Workday, Taleo, Greenhouse, Lever, and SAP SuccessFactors.

How ATS Actually Works

ATS software does three things to your CV:

1. Parse your CV — It extracts text and tries to identify your name, contact info, work history, education, and skills. Anything it can't parse is simply lost.

2. Match keywords — It compares your CV against the job description, looking for exact keyword matches. Missing keywords = lower score.

3. Rank candidates — It assigns a score and ranks all applicants. Only the top-ranked CVs reach human reviewers.

The 7 Biggest ATS Mistakes

1. Using tables, columns, or text boxes

ATS systems parse text linearly. A two-column CV layout confuses the parser — your job title from column 1 might get merged with a skill from column 2, creating gibberish.

Fix: Use a single-column layout. Always.

2. Putting key info in headers or footers

Most ATS systems cannot read text in document headers or footers. If your name or contact details are in a header, you might be invisible.

Fix: Put all information in the main document body.

3. Using graphics, icons, or images

Images are completely invisible to ATS. If your skills section uses icons, or your contact info is embedded in a graphic — it doesn't exist to the parser.

Fix: Plain text only. No icons, no images, no decorative elements.

4. Wrong file format

Some older ATS systems struggle with certain PDF versions. DOCX is universally safe. A modern, clean PDF usually works too.

Fix: Submit as .docx when given the choice. If PDF only, use a simple, text-based PDF.

5. Missing exact keywords

ATS searches for exact phrases from the job description. "Project management" and "managing projects" are different strings to a keyword matcher.

Fix: Read the job description carefully. Mirror their exact language.

6. Creative section headers

Headers like "My Journey", "What I've Built", or "Where I've Been" confuse ATS. It looks for "Work Experience", "Education", "Skills".

Fix: Use standard headers: Work Experience, Education, Skills, Certifications, Summary.

7. Sending the same CV to every job

A generic CV will score poorly for every specific role. Each application needs keyword alignment.

Fix: Tailor your CV for every job. At minimum, adjust your summary and skills section.

The ATS Optimization Checklist

Before submitting any application, verify:

  • ✅ Single-column layout
  • ✅ Standard fonts (Calibri, Arial, Times New Roman)
  • ✅ No tables, columns, text boxes
  • ✅ No headers/footers for important info
  • ✅ Standard section headers
  • ✅ Keywords match the job description exactly
  • ✅ File saved as .docx or clean PDF
  • ✅ No images or graphics
  • ✅ Contact info in the main body

How to Find the Right Keywords

  1. Read the job description 3 times
  2. Highlight every skill, tool, and qualification mentioned
  3. Count which ones appear most (those are highest priority)
  4. Check your CV — are they there, in the same words?
  5. Add missing keywords naturally into your experience bullets

ATS Score: What's Good?

ScoreMeaning
80-100Excellent — likely to reach a recruiter
60-79Good — may pass with strong experience
40-59Needs work — missing key keywords or formatting issues
Below 40Poor — likely filtered out automatically
